1. Overview
TradeSnap AI is a business app for tradespeople on iPhone, iPad and Android. It helps you capture job information, create AI-assisted Job Briefs and quotes that you review, invoice work with or without a quote, record visits, keep pricing history and agreed prices, manage follow-ups, share a quote through a customer link and invite other tradespeople.
At a glance: TradeSnap AI does not sell personal data, show third-party advertising, use third-party analytics, or track you across other companies’ apps and websites.
This policy covers the TradeSnap AI app, its account service, the customer quote pages, invite links and this website. Read it alongside the Terms of use.
2. Who is responsible
The data controller for TradeSnap AI’s account, service, support and website processing is Lyth Hishmeh, trading as Fun Lion Studios. For privacy questions or requests, email support@tradesnap-ai.com.
TradeSnap AI is designed for business users. A tradesperson who enters or uploads a customer’s personal data normally decides why and how it is used for their work. They are responsible for having a lawful basis, using it only for legitimate work purposes, and giving the customer any notice the law requires.
For a customer quote link, we process the quote and the recipient’s response on the tradesperson’s behalf to provide the feature. The tradesperson remains responsible for the customer relationship and the content of the quote. We also handle limited event and security data to keep the service safe and to keep a record of the customer’s decision.
3. Data we handle
Account and business information
- Name, email address, sign-in details and account status. Passwords are stored only as a secure hash.
- Business name, address, phone number, trades, logo, VAT details and business preferences.
- Quote and invoice defaults, rates, terms and pricing-history preferences.
Customer, job and commercial information
- Customer names, contact details, site addresses and internal notes.
- Job descriptions, conversation text, trade notes, Job Briefs, work scopes and follow-up information.
- Prices agreed with a customer, whether you enter them or they appear in the evidence you add, so that the quote can honour them.
- Visit records: what was done, materials used, measurements, what the customer decided and a transcript of any voice note recorded for the visit.
- Quotes, line items, materials, uncertainties, prices, VAT, invoices — including invoices raised directly with Bill Work, without a quote — credit notes, due dates and payments.
Subscription and plan information
- Whether the account is on the free plan or TradeSnap Pro, and the plan allowances used in the current period — for example how many AI drafts have been requested this month, recorded as a feature name and a time.
- For a paid subscription, the purchase record Apple confirms to us: Apple’s subscription identifier, the product, whether it came from the App Store or a test environment, the renewal or expiry date, any offer applied, and whether it was refunded or revoked. We keep the transaction record Apple signs so that questions about what was bought can be answered.
- We never receive or store your card details or any payment method. Apple handles payment.
Referrals
- Your own invite code, created the first time you open Refer a friend. It begins with up to four letters of your business or personal name, followed by random characters.
- If you sign up with someone’s code or add one later: a record that your account was invited through that code, when, and how the code arrived — typed, opened from an invite link, or, on Android, passed through the Google Play install referrer. On iPhone, the invite page’s store button copies the invite link, and the app reads the clipboard only when you tap to paste it.
- If you were invited: the welcome offer code reserved for your account, if one is offered, and whether it was used.
- For rewards: whether an invited account has subscribed and how many paid subscription payments it has made, taken from the verified App Store records described above, and the rewards earned, saved, offered or claimed. The person who invited you sees only totals — how many people signed up, subscribed and earned them a reward — not who you are or what you do in the app.
- To stop codes being guessed, each wrong code is kept for one day against a keyed hash of the connecting IP address (never the address itself) and, when you are signed in, against your account.
Files and AI evidence
- Conversation screenshots and voice notes that you add as evidence for a job, a visit or a Bill Work invoice.
- Ordinary job photos that you add for your records. Their contents are never sent to AI. They are still uploaded and stored like any other attachment so they reach your other devices — not used for AI does not mean not kept.
- PDFs the app generates, and files you choose to share from the app.
- When you are signed in, these files are uploaded to cloud storage rather than staying only on your device. See Retention and deletion.
Customer quote links
- A frozen copy of the quote and the business contact details the tradesperson chose to share, including the customer’s name and address where they are on the quote.
- When a recipient uses the link: the time and type of activity, their typed name or initials when accepting, a decline reason or question they choose to write, and contact details they give for a reply.
- For an acceptance or decline only, the IP address and browser details used, kept with the decision record. We do not try to identify people who only view a quote.
Technical information
- Security and sign-in events, request times, error information and limited operational logs.
- An Apple Push Notification service or Firebase Cloud Messaging device token linked to the signed-in account, when you allow notifications. It delivers quote-activity alerts — viewed, accepted, declined or a question — that never show the customer’s name, the amount or what they wrote, and occasional plain-text messages from TradeSnap support. It is not used for advertising or tracking.
- Service metrics: each minute, the number of requests to each kind of address and how long they took. These contain no account, customer, job or device identifier and are kept for 48 hours.
- Apple MetricKit performance and diagnostic reports, such as crashes and hangs, when iOS provides them. The app’s report carries no account, job, customer or installation identifier.
- Firebase Crashlytics crash reports from the Android app: the crash or freeze, app version, device and operating-system details, time and stack trace. TradeSnap adds no account, job, customer, contact, attachment or installation identifier, and sends no error messages or service responses.
Free-text fields and recordings can contain more than the categories above. Please leave out anything the job does not need.
4. How information is collected
You supply information through the app, import it with your phone’s sharing and file controls, or it is created when the app calculates or generates documents, or when the service responds to something you asked for. A recipient of a customer quote link supplies any name, decline reason, question or contact details through that page.
This website sets no cookies and uses no analytics or advertising scripts. Our hosting providers process ordinary request information, such as IP address and browser details, to deliver and protect the site.
5. How information is used
- Provide job capture, briefs, quoting, pricing, invoicing, visits, PDFs, follow-ups and customer quote links.
- Serve a customer quote link, record the response to the frozen quote, and show the activity to the tradesperson in the app.
- Create and protect accounts, confirm email addresses and reset passwords.
- Process the AI features you request and return results you can edit.
- Store and sync your information across your signed-in devices.
- Send the notifications you allow.
- Keep the service secure, prevent abuse, investigate errors and support users.
- Comply with legal obligations and enforce the Terms of use.
- Build coarse market pricing information when you have turned on pricing contributions.
- Confirm subscription status with Apple and apply the allowances of the free and Pro plans.
- Run the referral programme: attach invite codes, hand out welcome offers, count qualifying payments, save and apply rewards, and prevent code guessing and abuse.
- Run an internal support console. It shows account email, business name, plan, usage counts and referral records so support, billing and abuse questions can be answered. It cannot show job content, customer details or uploaded files, and every view of an individual account is logged.
6. AI processing
When you ask for AI help, TradeSnap AI sends selected job information to Google’s Gemini API. What is sent depends on the feature, and the differences matter:
- Job Brief sends the job details you entered, including the customer’s name, phone number, email address, site address and postcode, with your trade notes, pasted conversation text, conversation screenshots, voice notes, earlier approved briefs for the job and facts you have confirmed. The identity fields are sent so the brief can propose and check customer and site details for your review. The brief also records any prices you agreed with the customer that appear in that evidence.
- New evidence on an existing job sends the new message, notes, conversation screenshots or voice notes, with the job’s title, trade, current brief and confirmed facts, to work out whether it changes the work, belongs to a visit or is separate work. It does not send the customer’s contact details. Nothing changes until you review it.
- Visit records send the job’s title, trade and current brief, the notes you typed, and the visit’s conversation screenshots and voice notes. They do not send the customer’s contact details or the visit’s photos.
- Quote drafting sends the job title, scope and trade, your approved Job Brief including agreed prices, confirmed facts and your own pricing settings and saved rates. It does not send the customer’s name, contact details or address.
- Bill Work invoices send what you say or type about the work, any conversation screenshots or voice notes you add, and the customer’s name, phone number, email address and site address if you entered them, so the draft invoice can be addressed for your review.
- Market price lookups send only the item description, type and unit, your trade, whether your business is VAT registered, and the United Kingdom as the market. No customer, job, address or postcode information is sent.
- Smaller suggestions — splitting or merging a quote line, or estimating labour time — send only the line descriptions and the trade involved.
Your postcode area — the first one or two letters only, such as “BS” — is used inside our own service to group pricing by region. It is not sent to the AI provider.
Photo boundary: ordinary customer or job-site photos are records only. Their contents are never sent to AI to work out scope, line items or prices. Images added as conversation screenshots must show a conversation.
What Google does with it
We use the paid Gemini API. Under Google’s terms for paid services, Google does not use the prompts we send or the responses it returns to improve its products, including its AI models, and processes them as our data processor. Google keeps prompts and responses for a limited time only to detect and prevent misuse of its services and for any legally required disclosures, and may store or cache them briefly in any country where Google or its agents have facilities.
Market price lookups use Gemini’s Grounding with Google Search, for which Google keeps the request and answer for 30 days to produce search results and to debug and test those systems, still as our data processor. These lookups contain no customer or job details.
AI output records and reports
- The AI’s version of a Job Brief is kept for 90 days, so that regenerating a brief can keep the edits you made, and so a report about a brief can show what the AI wrote. It is deleted with your account.
- Reporting a problem (“Report a problem” on a brief or quote) sends us the output you were looking at, the reason you chose and anything you write. Only if you switch on sharing does it also include that job’s messages, notes and voice-note transcripts. Photos, conversation screenshots and recordings are never included. TradeSnap staff read reports to find and fix problems with the AI features. They are kept for 180 days and deleted with your account.
- AI reliability counts: for each AI feature we record whether a request reached the AI or fell back, and the type of error. These records contain no account, job or customer information.
AI output can be incomplete or wrong. Review scope, customer details, safety information, line items, prices, VAT and wording before you use or send anything. Quotes and invoices your customers see are not labelled as AI-generated.
8. Legal bases
Where UK GDPR or similar law applies, we rely on:
- Contract: to provide the app and account features you ask for, including subscriptions and referral rewards.
- Legitimate interests: to secure, maintain, improve and support the service and prevent abuse of it, balanced against your rights.
- Consent: for optional choices, such as notifications, pricing contributions or sharing a job’s text with a report.
- Legal obligation: where the law requires us to process or keep information.
Where a provider processes information outside the United Kingdom, transfers rely on an adequacy decision, contractual safeguards or another lawful transfer mechanism. Uploaded files are stored in Cloudflare’s European Union region.
9. Retention and deletion
- Account service: account data is kept while the account exists, and as reasonably needed to provide and secure the service and meet legal obligations.
- On your device: the app keeps a local copy and current attachment files until you remove them in the app, delete your account, or remove the app and its data.
- Uploaded files: when you are signed in, attachments you add — job photos, conversation screenshots, voice recordings and generated PDFs — are kept in cloud storage so they reach your other devices, until you delete the attachment, its job or your account. Photos and screenshots are reduced in size before upload.
- AI requests: a copy of the evidence for each AI request goes to Google, which handles it as described in AI processing. We keep no second copy beyond the stored attachment.
- AI output records and reports: the AI’s version of a brief is kept for 90 days and reports for 180 days.
- Subscription records: the plan record and Apple’s signed transaction data are kept while the account exists and deleted with it. Allowance usage is kept as long as needed to work out the current period’s allowance and answer billing questions.
- Referral records: kept while the accounts involved exist. Deleting your account deletes the record that you were invited, the payments counted for it and the rewards you earned or saved. Your own invite code is detached from your account and earns nothing further. Wrong-code records are deleted after one day.
- Service metrics: kept for 48 hours.
- Operational records: limited security and diagnostic records may be kept as long as reasonably needed for security, troubleshooting, disputes or legal obligations.
Deleting your account removes the information still linked to it, including the profile, jobs, visits, quotes, invoices, pricing history, sessions, subscription, allowance and referral records, AI reports and stored brief versions, attributable pricing contributions and uploaded files. Anonymous totals and shared market prices may remain where they can no longer be tied to the account.
See Delete your account for the steps.
10. Your choices and rights
You can edit or delete jobs and pricing history, turn pricing contributions off, turn notifications off in your phone’s settings, or permanently delete your account in the app.
Depending on where you live, you may have the right to access, correct, erase, restrict, object to or receive a copy of your personal data, and to withdraw consent where we rely on it. You can also complain to your data protection authority — in the UK, the Information Commissioner’s Office.
To make a request, email support@tradesnap-ai.com. We may need to confirm your identity first.
11. Security, children and changes
TradeSnap AI uses reasonable technical and organisational safeguards, including strict separation between accounts, secure credential storage on your device, encrypted connections, limits on what reaches the AI and restricted diagnostic logging. Uploaded files are held in private storage with no public web address, reachable only through a signed-in request for the account and job that owns them, and encrypted at rest. No method of storage or transmission is completely secure.
TradeSnap AI is for adult business users and is not directed at children.
This policy changes when features, providers or the law change. We show material changes by updating the effective date above and, where appropriate, by telling you in the app.
